The Project Coordinator is responsible for overseeing customers order fulfillment from beginning to end, with a focus on maximizing profit and minimizing risk. The Coordinator is also responsible for capturing contract requirements, and all costs of systems, products, component sales and field service in the ERP System. The Contracts Administrator is responsible inside sales and service, vendor purchasing, production order processing, insuring that the customer s shipping & receiving requirements are fulfilled, payables, receivables, and record-keeping functions. This position acts as a point of contact for inventory control and records.

Specific responsibilities and Authorities may include:
Customer communications within the scope
Assisting with and preparing quotes.
Documenting Contract Review inputs and outputs, disseminating action items to stakeholders, and following up on completion of those action items.
Capturing and processing customer order requirements in the into ERP system.
Project Coordination and Production Order processing
Work with Project Engineer and Project Manager to insure project targets are met.
Process Purchasing Requisitions for jobs and field service.
Ensure all job material is inspected and accepted
Validate Supplier invoices for payment in a timely manner
Account for all job costs
Support procedures for allocation of materials, labor, and freight job costs.
Initiating and documenting Progress Billing
Monitor job progress against promise date to the Customer.
Communicate Packaging, Documentation, and Shipping requirements of Deliverables to Shipping Department.
Validate use of all ordered material against the job after completion, and addressing discrepancies
Participant in the job close-out process.
Ensuring Quality Plan is fully executed before shipping to customer
Close out jobs in the ERP system and in regards to customer requirements
Processing sales orders and generate P21 and progress billing invoices.
Identify and inform Contracts Manager of past due invoices and perform collection activities.

Other
Reporting management objective data to Senior Contracts Administrator.
Supporting application or sale of on hand/dead inventory whenever possible.
Providing Rolling Forecast Data to VP of Contracts.
Supporting inventory management and record-keeping.
Supporting other contracts personnel as necessary.
Performing reception duties and answering phones as needed.
Support and participate in the organization s continual improvement program to conform to ISO 9001 and understand the implications of not complying with the quality management system.

ADMINISTRATOR
Demonstrate leadership and commitment with respect to the quality management system by:
taking accountability for the effectiveness of the quality management system;
ensuring that the quality policy and quality objectives are established for the quality management
system and are compatible with the context and strategic direction of the organization;
ensuring the integration of the quality management system requirements into the organization s
business processes;
promoting the use of the process approach and risk-based thinking;
ensuring that the resources needed for the quality management system are available;
communicating the importance of effective quality management and of conforming to the quality
management system requirements;
ensuring that the quality management system achieves its intended results;
engaging, directing and supporting persons to contribute to the effectiveness of the quality
management system;
promoting improvement;
supporting other relevant management roles to demonstrate their leadership as it applies to their
areas of responsibility.
This position shall assign the responsibility and authority for:
ensuring that the quality management system conforms to the requirements of this
International Standard;
ensuring that the processes are delivering their intended outputs;
reporting on the performance of the quality management system and on opportunities for
improvement in particular to top management;
ensuring the promotion of customer focus throughout the organization;
ensuring that the integrity of the quality management system is maintained when changes to the
quality management system are planned and implemented.

2.2 EDUCATION AND TRAINING
Bachelor s degree in business-related field.
Experience may be accepted in lieu of education.

2.3 EXPERIENCE
Two (2) to five (5) years of experience in project coordination
Experience in manufacturing or engineering a plus.
Experience working in an ISO 9001 environment a plus.

2.4 KNOWLEDGE AND SKILLS
Working knowledge of P21, a plus.
Proficient in Microsoft Office.
Ability to multitask and communicate well with all levels of personnel.
